The Executive Assistant’s responsibilities include providing administrative support to the President & CEO, as well as the Choose New Jersey team. The successful candidate will also coordinate the planning and execution of events, trade shows, conferences, and business missions, in collaboration with the business development and marketing departments. The combination of duties requires a candidate that is experienced, professional and assertive with strong time management and project management skills. 

Essential duties and responsibilities include the following:

Provide administrative support to the President & CEO and Choose New Jersey staff by:

  • Exercising discretion to act as gatekeeper, including managing calendars to schedule both internal and external meetings, answering and filtering incoming calls and screening incoming emails and information.
  • Coordinating travel itineraries and confirming meeting details, such as conference rooms and/or locations, attendees, and times for meetings.
  • Preparing and editing outgoing correspondence regarding matters of significance, to include email messages, memos, etc.
  • Other administrative duties to support Choose New Jersey staff as assigned by the Chief Administrative Officer.

Event coordinator responsibilities:

  • Oversee the full life cycle of events from inception, internal and external planning collaboration, and scheduling to implementation for experiences ranging from business meetings to elaborate productions.
  • Manage and coordinate clear, concise communication with vendors, sponsors, collaborators, and delegation participants.
  • Track event expenses and manage budget, maintain accurate records of sponsorship invoices and funds received, produce event timelines and briefing documents.
  • Develop and coordinate post-event evaluation to ensure continued success of events and sustainability.

All other duties as assigned.


  • Bachelor’s degree, preferred
  • Minimum 5 years of experience in executive support
  • Strong knowledge of Microsoft Suite and with an emphasis in calendar management in Outlook
  • Strong organizational skills with particular attention to detail and ability to manage multiple tasks.
  • Excellent communication skills with the ability to interact professionally with supporters and staff.
  • Ability to multi-task and manage multiple workload priorities; comfortable working with tight deadlines; and maintain a high aptitude for detailed work
  • Strong writing and proofreading skills
